Overview
Luxor CRM security groups are designed to afford your admins the ability to control access to features of the system. By adding users to a security group, the Admin grants that user profile access to the feature set controlled by the security group.
How to assign Security Groups
There are two ways that you can assign a Security Group to a user in your CRM (fka Luxor) environment:
- Profile level
- If your goal is to change only one user's security group access, you can do so from their profile within Admin > User Management
- Scroll halfway down their profile page and look for a section called "Security Group"
- You can choose one or multiple security groups and move them from the "Available Security Groups" to the "User's Security Groups"
- Security Group manager
- You can use the Security Group manager if your goal is to change multiple user's security group access or to see which users have which security groups.
- You can access the Security Group manager by going to Admin > Security Group Management
- From the Security Group Management page, you can click into each security group option and see which users are assigned.
Security Group definitions
- Accounting Manager
- grants users' permission to see the Invoice records, Expense records and Payment records associated to a job record. If the user does not have this permission set, they receive the message “You do not have permission to view this content” when they select the associated record.
- Admin
- highest permission setting in the system. An Admin has access to all parts of the system, and in the few circumstances that they do not have access, they can enter the security group manager and grant themselves the required access.
- Audit Manager
- grants users access to the special audit views in each module named “(Admin) To Be Audited (Priority)”. *It does not, by default, give them access to the Audit field, which is required to mark a record audited. Please ensure that the security group selection for each module’s Admin tab includes Audit Manager to give them access to this.
- Custom Security Groups
- are used to control access to tabs in each of the modules. This allows clients to create tabs that hold key sets of information and restrict visibility of and access to these tabs.
- Deduplication Manager
- grants users access to the Tools menu, which contains the Deduplicate Contacts and Deduplicate Organizations features and gives the user the ability to merge contacts. It should be provided to the auditors.
- Email Template Editor
- (legacy - outdated) grants users the feature (within Settings) that allows them to create email templates to be used in mail merges.
- Expense Manager
- grants a user the ability to indicate on Expense reports which expenses have been paid.
- File Manager
- has been turned off at present
- Followups Manager
- indicates which users will receive the Followups notification emails that are sent out. *This has been turned off as restoration clients now use the Restoration Alert called Contact Association Alerts instead (it functions in a superior fashion.)
- Incentive Manager
- has been turned off at present
- Luxor Support Manager
- has been turned off at present
- Marketing Securities
- Marketing Full: allows you to send emails and create campaigns + automations; Marketing Partial: allows you to send emails; Marketing Creator allows you to create templates
- Salesperson
- indicates which users will be included in the business development section of the automated weekly Management Report.
- Organization Type Manager
- has been turned off at present.
- Payroll Manager
- grants users' permission to see the Employee cost records associated to a job record. If the user does not have this permission set, they receive the message “You do not have permission to view this content” when they select the associated record. In addition, it provides the user with access to the Admin area, where they can see and access the Integration function for QuickBooks only.
- Print Template Manager
- has been turned off at present.
- Report Manager
- grants users' permission to share the reports that they build with other users. Also allows users to delete views shared with them by others.
- Sales Manager
- enables user to be selected in Management Report settings as a target for receiving the report. Users without Sales Manager security will not appear in the "Employees who will receive the email" section within Management Report Settings.
- System Manager
- grants a user access similar to an Admin, but with the restriction that they are unable to adjust security groups for themselves or others. This allows them to function as an admin, without having access to Accounting Manager or Payroll Manager specific features and information.
- Time Tracker
- has been turned off at present.
- Tracking Group Alteration
- gives users the ability to change the tracking group of a job after it has been created and saved.
- Tracking Group Alteration To Support
- has been turned off for restoration clients.
- User
- has been turned off at present.
- User Creator
- provides the user with access to the Admin area, where they can see and access the User Management functions only. NOTE: it doesn't allow the user to assign Security Groups. Also, if your company has the DASH integration/Employee Sync, this security group is not needed (as all users are created in DASH and sync over into Restoration CRM (fka Luxor).
- Views Manager
- grants users' permission to share the views that they build with other users. Also allows users to delete views shared with them by others.
