Activity Settings

Overview of Activity Settings

This area of CRM is restricted by Admin access. If you do not have access to the Admin area of CRM, please reach out to your administrator for further assistance.

The Activity Settings area houses Activity Types & KPI Management as well as each of the Activity Types Included in # of Days since Last Activity for each module/area of CRM (fka Luxor).


Activities are added (on Contacts, Organizations, Jobs, Opportunities, etc) to track interactions with clients. 


This page covers how to:

  • Create, edit, and delete Activity Types
  • Manage which Activities Types show up under Contacts, Appointments
  • Manage which Activity Types are associated with KPIs
  • Create auto-activities (activities added to when creating a To-Do, Appointment, etc)
  • Manage which Activity Types count towards # of Days Since Last Activity
  • Manage which Activity Types count towards # of Days Since Last Face to Face

 



Activity Types Included in # of Days Since Last Activity

This section allows you to select whether or not a particular Activity Type counts towards the # of Days Since Last Activity metric in your CRM system. You may want some activities to count towards this metric and others to be excluded. If you want to create new activity types see the Activity Types & KPI Management section below.




Activity Types Included in # of Days Since Face-to-Face (Contacts)

This section allows you to select whether or not a particular Activity Type counts towards the # of Days Face to Face metric in your CRM system. You may want some activities to count towards this metric and others to be excluded. For example an Activity Type = "Email" will likely be excluded from this list and "Lunch" would be included. If you want to create new activity types see the Activity Types & KPI Management section below.




Activity Types & KPI Management

In these sections, you can create, edit, and delete Activities for each module (Organizations/Companies, Contacts, Opportunities, etc). This area also allows you to designate whether KPIs are based on these activities.

  • Click Add New at the top left-hand corner to add a new Activity Type
  • To edit an Activity Type simply click on the Activity Type name
  • To delete an Activity Type select the checkbox next to it and click Delete at the top of the page

You can use the Apply To and Included In fields to have activities created automatically. For example, having "Included In" set to Contact and "Apply To" set to Creation will cause an auto-generated activity to be assigned to a Contact upon creation. With Apply To set to completion, you can have the activity fire at the completion of an Appointment, a To-Do, etc. 


On the Activity Type creation/edit screen, you can also manage whether or not certain Activity Types count towards the CRM KPI feature.
