Note visibility configuration

Question

  • How can I change the default visibility setting for notes in DASH?
  • How can I change a note from Public to Private?
  • How can I make a note private on a job?
  • If a note was public and synced over into XactAnalysis or Claims Workspace (fka Claims Connect), can I remove it?
  • What do the note visibility settings mean? (Public vs Private vs Public Admin)

Overview

Disclaimer

If a job note synced over to XactAnalysis or Claims Workspace (fka Claims Connect), you cannot un-sync it by setting it back to Private. You will need to go into your 3rd party assignment software and remove it there.

Note visibility is controlled in two places within DASH:

  1. Job level (note-by-note basis)
    • Note visibility can be updated on a note-by-note basis.
    • You can change the note visibility by going to the job in DASH and clicking on the Notes tab. From there, select the checkbox next to the notes you want to update and then click the Select Visibility drop-down from the top of the Notes grid and update the visibility level.

    • You can also control the note visibility when the note is initially created in DASH.

  2. Default/system-wide
    • Notes can be set to a specific visibility level by default.
    • You can change the default note visibility settings by doing the following:
      • Hover over Administration and click Company Settings
      • On this page, click on Note Visibility Configuration
      • The Note Visibility Configuration page allows you to edit your local jobs (and/or admin jobs if applicable) to default to a specific visibility level.

There are 4 visibility settings within DASH:

  • Public - if a note is set to Public visibility, it will sync to the 3rd party assignment software (Xactware or Claims Workspace (fka Claims Connect)) linked to the job in DASH. If your company is a part of a franchise or TPA and uses a dispatch service with DASH, any Public notes would be visible to that TPA or corporate office (if the job is a dispatched claim).
  • Private - if a note is set to Private it will not sync to the 3rd party assignment software (Xactware or Claims Workspace (fka Claims Connect)) linked to the job in DASH. If your company is a part of a franchise or TPA and uses a dispatch service with DASH, any Private notes would not be visible to that TPA or corporate office (if the job is a dispatched claim).
  • Public Admin - only applicable to those who use a TPA or franchise dispatch service. If a note is set to Public Admin it will sync to your TPA and/or franchise, but will not sync to the 3rd party assignment software (Xactware or Claims Workspace (fka Claims Connect)) linked to the job in DASH.
  • Forced Private - this visibility level is only available in the Admin > Company Settings > Note Visibility Configuration page. This visibility level forces notes as private by default. Notes with this setting can only be made public by editing the note.
