Best practices for mobile photo uploads to MICA Cloud

Overview

While MICA mobile is designed to work offline, exports need to be done with sufficient connectivity for the upload to be successful. MICA will work with limited connectivity but the export may take a little longer.

Initial Visit

  1. Once a claim has been received, the field personnel being sent to the job site should download the loss onto one device.
  2. Following the MICA workflow, document the job as you normally would (i.e. enter dates, collect signatures on required forms, define room dimensions, etc.)
  3. As you continue through the documentation workflow, capture photos as necessary either in the app or by uploading them from your library on your device.
  4. At the end of the initial visit, you should export the loss back to the cloud. At this point, there are a few things to consider when preparing to export the job:
    • Do you have an internet connection (wifi)?
      • If yes, go ahead and export the project
    • Do you have cellular connectivity?
      • If yes, you can attempt to export the job, but keep in mind that cellular connectivity can be intermittent
      • Depending on the amount of data you have collected on the job file, it may be best to wait until you have established WiFi connection to export. 
  5. Once the export has been confirmed as successful, the photos should be safely secured in the web portal. If for some reason the photos failed to upload to the server successfully, you should promptly retry the export process
    • It is always OK to reattempt the upload from your device if it seems project data did not export successfully (i.e. photos showing "Image Not Available")
    • You can also try to only upload photos from the Pictures section by choosing the Upload All Pictures option in the bottom right corner
  6. If you lose connection during upload - if you need to close the MICA mobility app or change locations before the export is complete, you are able to. We recommend uploading when you have a wifi connection for faster uploads – the system should restart the upload automatically when you have cellular coverage again or are connected to wifi.
  7. Check the "Not Exported" tab before ending the day - Before finishing a job for the day and after you have selected to export, double-check that the photos are uploaded. Navigate to the “Not Exported” folder on the job to ensure it’s empty. If it’s not empty you need to export again to ensure all photos are uploaded from your device.

  8. Upload to the MICA Cloud frequently - while it is possible to allow a job to remain on your device for the duration of the drying, the best practice is to upload to the cloud every day for a job's duration to ensure the most recent job data and all of the photos are on the synced cloud.

 


Subsequent Visit(s)

  1. Prior to downloading the job to your device for a subsequent visit, check the MICA web portal to ensure all photos have been successfully uploaded from the previous visit. If they have not, retry uploading the photos from the project on the original device they were captured on.
  2. Check the "Not Exported" tab on the job before downloading the job from Exchange - DO NOT DOWNLOAD the job from Exchange until you have confirmed there is nothing in the Not Exported tab otherwise, you will overwrite the file and lose photos.
  3. Do not download the latest version of the job from the cloud while you still have un-uploaded photos - if you want to download the latest version of the job from the cloud, but still have photos on your device from a previous day you must upload to the cloud first to get those photos into the cloud. Even if you download the job and select “Keep Changes” the photos will still be overwritten on your device with whatever photos are on the cloud.
  4. If the same user is going to the job site that day, it is best practice to re-download the job in case any changes are made to the job file on the web. When re-downloading the job file, make sure to select "Download and Overwrite Changes"
  5. Download and Overwrite will pull the latest version of the job from the servers and update the project on your device with any new information that has been entered.
  6. Follow the same process as detailed above to ensure your documentation and photos are always uploaded to the server following a visit to the job site.
