Overview

Opportunities are CRM's (fka Luxor) form of a sales funnel or sales drip system. In essence, the goal is to turn 1,000 small contacts (Opportunities) into the equivalent of one person who consistently sends you referrals.


Within an Opportunity, you can choose from different types of Sales Cycles. Those Sales Cycles are made up of stages that walk the opportunity from start to finish. Each stage has requirements to move the Opportunity to the next stage.

Generally, Opportunities are added to Contacts. They are not added to Jobs since jobs cannot refer you to new leads or sales.

Adding new Sales Cycles

To add a new Sales Cycle, please follow the instructions below:

  1. Within your CRM (fka Luxor) environment, navigate to Admin
  2. From there, click on Opportunity Sales Cycle
  3. Click Add New

  4. Enter in the Cycle Name and Description
  5. Click Save
  6. To add Stages to your new Sales Cycle, see the "Creating / Editing Stages" section of the article for more information

 


Editing Sales Cycles

If you want to edit the stages associated with a specific Sales Cycle you can do so by following the instructions below

  1. Within your CRM (fka Luxor) environment, navigate to Admin
  2. From there, click on Opportunity Sales Cycle
  3. You should see your Sales Cycles listed on this page
  4. You can change the name or description of the Sales Cycle
  5. If you want to edit or change the stages within a particular sales cycle, see the next section of this article for more information (Creating/Editing Stages).

 

 


Creating / Editing Stages

Adding Stages to Sales Cycles

You can add new stages within a Sales Cycle by following the instructions below:

  1. Within your CRM (fka Luxor) environment, navigate to Admin
  2. From there, click on Opportunity Sales Cycle
  3. Locate the Sales Cycle that you want to add stages to
  4. Click on "Open Cycle"

  5. On this page, you can add new stages by clicking on "Add New" at the top of the page

  6. Fill out the stage name (we suggest adding numbers to the beginning of the stage name, in the order of the stages - see example image in step #5). Choose the status that you want this stage to move the opportunity to (for most of your stages, you will want to select open, except for the final stage which would close the opportunity). You can mark the stage as required if it is a stage that cannot be skipped over in the sequence of stages. Then click Save at the top of the page.
  7. NOTE: you may want to have two options for a final stage (ex: Closed/Lost or Closed/Won). In those scenarios, you would need to set the status to close the opportunity and you would leave the "Stage Is Required" checkbox unchecked, so that the Sales/Marketing person can choose either option. See the example image below:

  8. Next, you will want to arrange the stages in order (where the first stage is at the top of the page, and the final stages are at the bottom). You can change the order of the stages by clicking on the up or down chevron arrows to the left of the stage name.
  9. See the next section for more information on how to edit your new stages (change required fields, restrict users from advancing a stage based on security group, etc)

 


Editing Stages and their requirements

  1. To edit a stage, you will want to click on the "Details" section next to the stages you have created.

  2. The Details section allows you to add any required fields for that Sales Cycle Stage. You can also select which security groups are allowed to move the stage from one stage to another.
  3. You can add your required fields at the bottom of the Stage Details page (see image below). Choose a field from the dropdown, then click the + symbol to the right. Once the field is added, you can check or uncheck the "Required" box to make it required or not (see image below). Fields that are marked required must be filled out before selecting the next stage in the list for that Sales Cycle.

  4. You also have the option of restricting who can move an Opportunity from this stage or to this stage. Most stages likely don't require any restrictions, however, you can add or remove security groups on this page. These security groups correspond with the ones on users' profiles (Admin > User Management).
