Management Report overview

Overview

The CRM (fka Luxor / LuxorCRM) Management Report is an automated weekly report that is emailed to the added recipients/users every Monday morning.


This article will cover each section of the CRM (fka Luxor / LuxorCRM)  Management Report. If you need to adjust any of the Management Report settings (i.e. adding recipients, adding salespeople, changing activity types, etc.) please see this article for more information - Management Report settings.

 

The Management Report is divided into 3 sections:

  • Audit Report (one for Jobs, Contacts, and Companies/Orgs)
  • Activity Report (Last 7 days, Current Month, Last Month)
  • Referral Report

 


Audit Report

Each module within the Audit Report has its own page (Jobs, Contacts, & Companies/Orgs) and the pages are structured similarly. Once you understand how one of them is laid out, you will understand them all. You can tell what module a report page is for by looking at the title at the top of the page (see example image below).
 

 

Thumbs up/down: the green thumbs up (or red thumbs down) that you will see on all of the Audit Report pages, tells you whether there were more items that were audited than items (new contacts, jobs, etc) that were created the prior week. For example:

  • On the Jobs page: if there were more jobs created the prior week than jobs audited it would display a red thumbs down.
  • On the Contacts page: if there were more contacts audited than contacts created it would display a green thumbs up. In the example below, you can see that there were 25 contacts that were audited in the prior 7 days, versus 20 that were created.



Spot check: this section allows report viewers to see examples of contacts that have already been audited. This allows management to see common patterns or missing data that are overlooked during audits. The items (contacts, jobs, etc) in the Spot Check section are pulled randomly from items that were marked audited for that prior week. NOTE: in the Companies (aka Organization) you may see companies with names like “Customer 18385726598”. This is a part of the Dash/Luxor Live Sync - homeowner names are not sent between the software due to security reasons.

 

 

Activity Report

The Activity Reports section shows activity by Salesperson. NOTE: if you need to add or remove any Salespeople to this report see this article for more information - Management Report settings


This report has several pages which display different time frames (but all pages are similar in layout):

  • Last 7 days
  • Current Month
  • Last Month

 

If a salesperson meets with two individuals who are with the same company and records two activities on those separate contacts, this report will only count those as one activity. Therefore, each company is only counted once regardless of how many people you logged an activity for within the company. This reinforces the idea that Sales/Marketing should hone in on the decision-maker for that company.

 

% of Repeat marketing: this section will calculate how often a salesperson is meeting with new/unique clients vs meeting with the same individuals repeatedly.

 

 

Referral Report

This section looks at jobs that have been brought in by a referral per salesperson.

NOTE: It's important to note that these are any and all jobs that are entered into the system, not just those that get signed. It’s still counted as a referral even if the homeowner never proceeds or signs the job.

 

Revenue Stats: the revenue stats section is based on the invoiced amount for referred jobs, broken down by salesperson. This data is dictated by the invoice amount on jobs that the Salesperson owns. NOTE: marketers/salespeople own jobs by owning the Contact which is then listed as the referred by on the Job.
