Answer
There are a few methods of emailing a note into a job in DASH and the process will differ based on which email configuration setup your company uses.
Confirm your Email Settings
To confirm which one your company uses:
- Go to your email settings under Administration > Employee/Security Settings > Email Settings.
- Locate a user who has their email settings set up and configured.
- Click Edit next to user's, then click on the "Incoming" tab.
- You should either see IMAP or POP3 listed here (see img below), make note of which option is selected. NOTE: If your company uses Outlook and utilizes the OAuth feature, you will want to go to the OAuth section below.
- If the server information option says POP3, go to the POP3 section below.
- If the server information option says IMAP, proceed to next step to confirm whether you use a Cotality provided domain.
- You can confirm whether your company has a Cotality-provided email address under the "Incoming" > "Login Information" section on a user's email settings page. You will want to look for email addresses that end in @dashstart.net or @mail.ngsapps.netdomains.
- If you do see one of these email domains, navigate to the IMAP (with Dash Start) section.
- If you do not see one of these email domains, navigate to the IMAP section

IMAP
- The subject line of the email should have the job number followed immediately by a colon and a space. For example, the subject line should look something like this 19-0012-WTR: Job Progress
- CC or forward the email to your work email address (which is associated to your account under Administration > Email Settings)
- In DASH, hover over More > select Emails
- Check the box(es) next to the emails and then click Mark As Read
- After the email is marked as read, it should populate into the notes section on the job(s).
IMAP (with Dash Start)
- The subject line of the email should have the job number followed immediately by a colon and a space. For example, the subject line should look something like this: 19-0012-WTR: Job Progress
- CC or forward the email to your Dash Start email (reach out to our Support team if you are not sure what your company's Dashstart email address is)
- In DASH, hover over More > select Emails
- Click Check New Mails to update your inbox and pull the email(s) into the job(s).
OAuth (Outlook)
- The subject line of the email needs to be the job number followed immediately by a colon and a space. It will look like this: 19-0012-WTR: Job Progress
- CC or forward the email to your Outlook email
- In DASH, hover over More > select Emails
- Check the box(es) next to the emails and then click Mark As Read
- After the email is marked as read, it should populate into the notes section on the job(s).
POP3 (with Dash Start)
- The subject line of the email needs to be the job number followed immediately by a colon and a space. It will look like this: 19-0012-WTR: Job Progress
- CC or forward the email to your Dash Start email (reach out to our Support team if you are not sure what your company's Dashstart email address is)
- In DASH, hover over More > select Emails
- Click Check New Mails to update your inbox and pull the email(s) into the job(s).
