Emailing a note to a job in DASH

Answer

There are a few methods of emailing a note into a job in DASH and the process will differ based on which email configuration setup your company uses. 



Confirm your Email Settings

To confirm which one your company uses:

  1. Go to your email settings under Administration > Employee/Security Settings > Email Settings. 
  2. Locate a user who has their email settings set up and configured. 
  3. Click Edit next to user's, then click on the "Incoming" tab. 
  4. You should either see IMAP or POP3 listed here (see img below), make note of which option is selected. NOTE: If your company uses Outlook and utilizes the OAuth feature, you will want to go to the OAuth section below.
    • If the server information option says POP3, go to the POP3 section below. 
    • If the server information option says  IMAP, proceed to next step to confirm whether you use a Cotality provided domain.
  5. You can confirm whether your company has a Cotality-provided email address under the "Incoming" > "Login Information" section on a user's email settings page. You will want to look for email addresses that end in @dashstart.net or @mail.ngsapps.netdomains. 
    • If you do see one of these email domains, navigate to the IMAP (with Dash Start) section.
    • If you do not see one of these email domains, navigate to the IMAP section

IMAP

  1. The subject line of the email should have the job number followed immediately by a colon and a space. For example, the subject line should look something like this 19-0012-WTR: Job Progress
  2. CC or forward the email to your work email address (which is associated to your account under Administration > Email Settings)
  3. In DASH, hover over More > select Emails
  4. Check the box(es) next to the emails and then click Mark As Read
  5. After the email is marked as read, it should populate into the notes section on the job(s).

 



IMAP (with Dash Start) 

  1. The subject line of the email should have the job number followed immediately by a colon and a space. For example, the subject line should look something like this: 19-0012-WTR: Job Progress
  2. CC or forward the email to your Dash Start email (reach out to our Support team if you are not sure what your company's Dashstart email address is)
  3. In DASH, hover over More > select Emails
  4. Click Check New Mails to update your inbox and pull the email(s) into the job(s).

 



OAuth (Outlook)

  1. The subject line of the email needs to be the job number followed immediately by a colon and a space. It will look like this: 19-0012-WTR: Job Progress
  2. CC or forward the email to your Outlook email 
  3. In DASH, hover over More > select Emails
  4. Check the box(es) next to the emails and then click Mark As Read
  5. After the email is marked as read, it should populate into the notes section on the job(s).




POP3 (with Dash Start)

  1. The subject line of the email needs to be the job number followed immediately by a colon and a space. It will look like this: 19-0012-WTR: Job Progress
  2. CC or forward the email to your Dash Start email (reach out to our Support team if you are not sure what your company's Dashstart email address is)
  3. In DASH, hover over More > select Emails
  4. Click Check New Mails to update your inbox and pull the email(s) into the job(s).
