Job ownership guide

Question

  • Why is the job owner set to System Account?
  • How can I change the ownership of a job in CRM (fka Luxor)?
  • Why are jobs not being assigned to me?

 


Ownership Checklist

Job Ownership is automatically assigned by the CRM (fka Luxor) system when the job is created based on 3 main criteria, otherwise, it will be assigned to "System Account" (or another contact as defined within Admin Settings > Restoration Settings):

  1. The job must have a Referred By added
    • NOTE: if you have the DASH/Luxor live sync, the Referred By must be added when the job is created in DASH.

  2. The Referred By contact must be owned by a salesperson in CRM (fka Luxor).
    • NOTE: if you have a DASH/Luxor integration, the Contact Owner in CRM (fka Luxor) is associated with the Responsible Rep on that same contact in Dash. The sales representative's name must match between systems for it to sync properly.

  3. Did the owner of the Referred By contact meet the minimum engagement time set up within Admin Settings > Restoration Settings? If your system sets "minimum engagement by referral type" certain referral types may have a certain amount of time since an activity was recorded on a contact before it no longer "counts" / assigns ownership to that Salesperson. See section below for more information
    • NOTE: creating the Contact does not count as a sales activity, you have to create the Contact and then track a sales activity to start getting credit from minimum engagement.  Beware this when you are creating a Contact and inputting that contact as a Referred By on the same day.




Job Ownership Assignment Settings

Within CRM (fka Luxor), there are a few very important settings under Admin Settings > Restoration Settings which control job ownership auto-assignment:

  • Auto Job Owner Assign to Referral Contact Owner: This assigns Ownership of Jobs to the Responsible Rep/Owner of the Referred By Contact on that Job. If it is unchecked, this auto-ownership will not work.

  • Requires Minimum Engagement: This checkbox enables the fields below it, allowing the user to define an amount of time a Salesperson has to record a Sales activity against a Contact, before that Contact's new Referred Jobs stop assigning ownership to that Salesperson.
    • Minimum Engagement By Referral Type: Leave unchecked to have the Minimum Engagement Days count for every contact regardless of Referral Type. Check to be given the list of Contact Referral Types in the system, wherein you'll need to define the time limit separately for all of them.
    • Minimum Engagement (days): set number of days required for a Salesperson to have owned a contact in order for them to receive "credit" for the a job referral. 
      • For example: if a contact was a referral for a job, CRM (fka Luxor) checks who the contact is, and then checks which salesperson/marketer owns that contract. Luxor then checks to see if the salesperson logged any activities within the set number of days to that contact referring the job. If they have logged activities within that set number of days, then CRM (fka Luxor) credits the job to the salesperson (makes them the owner of the job). If not, then Luxor does not credit the salesperson with the job and assigns job ownership to the "System Account".
    • A note on time limits: Setting it to 0 requires an activity to have been tracked the same day. If you're trying to give the most lenient time possible, set it to 999. There is no infinite option.



Overriding Ownership

Disclaimer

Typically, the ability to Override Job Ownership is reserved for administrators, and in many organizations, it is linked to financial credit for sales. If you are not a system admin and lack permission to perform ownership overrides, it is advisable to consult your administrator for additional guidance.

If given the proper permissions in CRM (fka Luxor), you can re-assign the job itself to a different salesperson. You can do this by going to the job and clicking on "Assign" at the top of the job window.
