Overview

Views are found within select modules within CRM (fka Luxor) (Companies/Organizations, Contacts, Jobs, and Opportunities). When you click on any one of those modules, you will be inside of a view. Views allow you to sort columns, search results from within that View's grid, and filter to only see specific information you want.

You can switch between different views by clicking on the dropdown next to "Views". In this drop-down you will see some default views that come pre-built, you may also see views you created or views that were shared with you by other users in your system (Sharing Views).

 

Disclaimer: Views are best for taking in dynamic information about your contacts, jobs, and customers but are not intended to replace Reports. Creating Views

You can create a new view in two different ways:

  1. From the module view
    • Navigate to the module (Jobs, Contacts, Companies, etc) that you would like to create the view under.
    • Click on the down arrow symbol next to the View selector/dropdown, then click "Add New View"



       
    • You will be taken to the View editor where you can design and build your own view. See the next section (Adding columns/filters/groupings to your View) for more information on what the view builder tool can do

  2. From Settings
    • Navigate to Settings > My Views. Then click on the module that you want to create the view under (for example: if you wanted to create a view to see all of the Companies within New York City, you would want to create a view under the Companies (aka Organizations) module).
    • Then click on Add New at the top of the page
    • You will be taken to the View editor where you can design and build your own view. See the next section (Adding columns/filters/groupings to your View) for more information on what the view builder tool can do

 


Adding columns to your view

  • The column builder can be overwhelming so it's helpful to have an idea of what you want to see within your view before you begin to add information/columns.
  • Adding columns to your view is as easy as clicking on a column name and moving it from the "Available Fields" section to the "View Fields" section by using the right chevron arrow.



     
  • Whatever you put into the "View Fields" section will be viewed as data/information in a column on your View
  • Each module will have different Available Fields to choose from. Some modules have the same kind of information available in all the view builders and some are specific to that module. 
  • NOTE: some of the Fields with "#" or $" symbols are called "calculated fields", these fields require calculations on Luxor's end to display in your View. These types of fields should be used in a limited number within a View, otherwise, it can slow down your View load time. If you need to capture a lot of calculated fields, you may want to run a report instead - Creating custom reports in Luxor.

 


Adding filters to your view

  • You can add filters to your view to narrow down your results to only the contacts/jobs/companies you need to see.
  • For example, in the image below, I've added a filter so that I only see contacts that are active and I only see people whose birthday matches today's date. Keep in mind that these are filters. If you also wanted to see their birthday or their active status, you would need to add them to the "View Fields" section so that they would have their own column within the View



     

Types of filters

There are multiple types of filters within the view builder. Keep in mind that you do not necessarily have to have a column that matches your field to search. However, you may want to allude to any filters in the title of your view so that you know what is included or excluded.

NOTE: by default, if you do not add any filters to your View, it will pull ALL items of that specific module (i.e. contacts, jobs, companies, etc.)

The types of filters available are outlined in detail below:

 

Yes / No filters - these filters include or exclude data from the view.

  • For example, the image below shows a view that would filter by Companies/Organizations that are active, therefore excluding any inactive Companies/Organizations from the view results

 

Date filters - these filters give you the option to narrow your search results down to date ranges.

  • With this filter type, you can choose from pre-generated date conditions, or you can choose "Between two dates" to filter for a custom time range. You can also exclude a custom time range by choosing "Not between two dates"
  • For example, the image below shows a view that would filter by Organizations (aka Companies) created within a certain date range

 

Comparison filters - these filters are the most used and allow you to filter in several ways. 

  • The most used conditions from this list are the "=" and "NOT" conditions. These allow you to include or exclude data. For example, you may want to only see "Organizations: Cities" that = New York City. Or you could use the "NOT" condition instead of "=" to show a view that includes all cities except for New York City.
  • The comparison filters >, <, >=, <= are best used with a numerical field to search. For example, the image below would filter a view to only show Organizations with >= 15 days since an activity was last added.



     
  • The IS NULL filter is useful when you want to include any results that may not have information added to that field. For example, you may want to see all of the Organizations in your database that do not have a Route added. 
  • The IS NOT NULL filter can be used when you need to exclude any data that is not filled out.
