Business Alerts (Auto Email Notifications & Tasks)

Overview

Disclaimer: editing or setting up Business Alerts requires Admin access in Luxor.

Business Alerts are a feature in CRM (fka Luxor) that allows you to set up automated email notifications and/or tasks for your sales team. For example, you can set up a Business Alert to notify someone on your team if a new job is created and it gets assigned to "System Account" instead of to a specific salesperson.

Setting up Business Alerts

  1. Navigate to the Admin section of CRM (fka Luxor) (located in the upper right-hand corner)
  2. Select Business Alerts
    • Note: you may see a section called "Business Alerts (Legacy)". This section contains the legacy version of Business Alerts. If you remove any legacy business alerts that are in use there, it will remove the legacy Business Alerts section - that way you no longer see it.
  3. Select "Create Alert"
  4. Choose which module you want to associate the task or notification to (Contacts, Organizations, Jobs, Opportunities)
  5. On the Business Alert creation screen, you will need to choose a few settings according to how you want the alert to behave and when you want it to be sent out:
    • Monitor Type: this controls when the alert or task will fire. For Jobs and Opportunities alerts, you can choose between a specific Stage or a Date Field. Contacts and Organization-based alerts can be monitored based on a Date Field only. For example: if you want a Job alert that is sent 1 day after a job is created, you would choose Monitor Type = Date Field, Monitored Value = Date Received, then set the time interval to = 1 day after.
    • Filter Criteria: these filters select for the specific job, contact, organization, or opportunity that you want to receive an alert for. For example: if you want a Job alert that tells you when a job has been created and has been assigned to System Account, you would want to set the filter to Owner = System Account. Note: if you type in a salesperson's name, you'll want to make sure it's spelled exactly the same as the salesperson in the CRM (fka Luxor / LuxorCRM) system.

  6. Next, you will want to decide if you want the alert to be an auto-email and/or auto-task. Keep in mind that you can create both email notifications and tasks for one specific alert.
    • Email notifications: this section allows you to build out an email that will be automatically sent when the criteria for the alert are triggered. You can choose who it will be sent to (To, CC, BCC), set a delay on the email, and create the body of the email. You can create multiple email actions to be fired off of one alert.
    • Tasks: this section allows you to create a task that will be automatically created and assigned in the CRM (fka Luxor) system when the criteria for the alert are triggered. You can also set up reminders for tasks which will auto-generate an email notification for that task. You can also create multiple tasks to be fired off of one alert.
      • Owner: CRM (fka Luxor) user that you want to complete the task
      • Backup owner: a backup CRM (fka Luxor) user that you want to complete the task in the event that the Owner cannot complete it. 
      • Note: the options under the Activity Type and Task Type dropdowns are custom fields that can be added or edited from these sections respectively:
        • Admin > Activity Settings > Activity Types & KPI Management
        • Admin > Lookup Tables Management > Task Type 

 

Editing or Deleting Business Alerts

  1. Navigate to the Admin section of CRM (fka Luxor) (located in the upper right-hand corner)
  2. Select Business Alerts
    • Note: you may see a section called "Business Alerts (Legacy)". This section contains the legacy version of Business Alerts. If you remove any legacy business alerts that are in use there, it will remove the legacy Business Alerts section - that way you no longer see it.
  3. Locate the Business Alert that you would like to edit or delete
  4. Click the Edit button or Delete button to the right of the Business Alert.
