Notes not syncing to XactAnalysis

Issue

  • Unable to send notes from DASH to XactAnalysis
  • Timeout error when syncing notes to XactAnalysis
  • I do not see the button to export notes to XA

 


Solution

  1. If the button to export the notes is not visible, that typically indicates that an XactAnalysis (XA) assignment is not linked. You can check this by navigating to the job in your DASH environment and expanding the Linked Assignment Information section.

  2. Check that the notes are set to Public visibility. To do this, navigate to the job in DASH and scroll down to the Notes tab. Locate the notes that you want to sync over and scroll to the right in the Notes grid

  3. You should see a "Visibility" column. If the notes are set to private, they will not sync over

     

  4. To change the visibility, check the box next to the note(s) you want to sync over, select the desired visibility in the drop-down at the top of the notes tab, and click "Change Visibility Level".
     



  5. If the Notes show a green sync symbol and are set to Public, but are not showing up on the XA assignment, you will need to verify if the correct assignment is linked. You can do this by comparing the Transaction ID from the XactAnalysis Assignment URL and the Provider External ID listed under Linked Assignment Information. See these steps on how to verify:
    1. Go to the XA assignment in XactAnalysis and make a note of the ID in the URL. This example shows where the ID is in the URL: 


    2. Next, go to the job in DASH and expand the Linked Assignment Information section. Locate the "Provider External ID" column and confirm if the ID listed there is the same as the ID you got from the XA assignment URL.
    3. If they are different, this indicates that the wrong assignment is linked to this job.

  6. If the notes are showing a red X, hover over them to see the error message.
    • Timeout error: if the error is a time out wait 10 minutes and attempt to export again. If this does not resolve the issue, please reach out to our Support team.
    • Other errors: make note of what the error says and reach out to our Support team.
