Replacing data values with alternative text

Question

  • How can I display alternate text for certain values in BI reporting?
  • How can I display text in place of a value on a BI report?

Answer

Sometimes, in BI, you might have values where you want to show different text. For example: you may have a $250 inspection only fee, and instead of showing a $250 estimate value you want it to say "Inspection Only" on your report. You may also have null values or blank cells for data that is not added to a job yet, and instead of being blank or null you want it to display alternative text.

This can be done by using the Alternative Text feature in BI:

  1. Click on the column/field (that you want to create alternative text for) in configuration mode
  2. Ensure that you are on the Field Properties tab on the right-hand properties menu
  3. Then click on More
  4. Select Alternative Text
  5. Then enter in the value you anticipate (ex: 250 for your standard inspection fee) and the value that you want to display as the alternative text (ex: Inspection Only).
  6. Use the "Add Setting" button to add additional alternative text options.
