Scheduling reports in BI

Note

Do not set up your access/scheduling until you have already created and saved your report. If you try to edit access before creating your report for the first time, your access settings may be overridden.

Subscriptions vs Scheduling

This article covers the steps for Scheduling reports. Note: Subscriptions = sending reports to yourself only || Scheduling = sending reports to others (and yourself).

In order to schedule a report, you must first set up access rights

  1. Navigate to the report in BI then click on Edit > Design
  2. Click on the access rights icon in the left-hand navigation menu


  3. Click the Add Sharing button in the top right
  4. Select the Group that you want to share the report with (Everyone, Role, etc) and choose the access rights that you wish for them to have (Full Access, View Only, etc)


  5. Now that you have managed the access rights, click on the schedule icon in the left-hand navigation menu


  6. Click Add Schedule in the top right
  7. Fill out the Instance Name (ex: Weekly Report for Mitigation Team)
  8. Set the schedule settings (Time Zone, Start Date, Recurrence, etc). Please note that Start Time = military time.
    • If you want to set an end date for your report recurrence, use the Recurrence = Custom Recurrence option which allows you to set an end date.
  9. Next, toggle over to the Delivery tab in the Add Schedule settings window


  10. Fill out the delivery options to your liking. Note: always check "Use Subscription Time Zone" otherwise it will come through as UTC.
  11. Then, select the recipients who should receive the report
  12. Finally, set your filter values (if you have a filter applied to your report).
