Mass edit assigned Employees or Participants on existing Workflows (aka "Assigned To")

Question

  • How can I mass reassign workflows to specific employees or participants?
  • How can I remove a particular employee/user from all workflows?
  • How can I mass reassign an internal participant for a workflow - aka an Accounting person, Coordinator, Supervisor, Foreman, or Marketing person?

This article covers how to edit the "Assigned To" for the Workflow itself (not the resulting compliance tasks). If you have open Compliance Tasks and need to reassign those to a new employee, see this article for more information - Reassigning compliance tasks

The Workflow Builder gives users the ability to change the Assigned To Type and/or the Assigned To person on multiple workflows. To update the Assigned To Type and/or Assigned To:

  1. Hover over "Administration" from the blue navigation ribbon in your DASH environment.
  2. Select Workflow Builder from the dropdown.
  3. At the top of the Workflow Builder page, expand the Mass Apply Settings section.
  4. Locate all Workflows that need to be updated and check the box next to them
  5. Now, go back up to Mass Apply Settings and click on the Assigned To Type drop-down menu, and select one of the following:
    • Employee
    • Participant
  6. Click on the Assigned To drop-down menu. Depending on the previous selection, the choices here will differ.
    • If the Employee was the previous selection, the user will be presented with a list of all active employees within the system. The selection here will be the user responsible for completing the workflow task each time.
    • If the Participant was the previous selection, the user will be presented with the 6 Internal Job Participants – Accounting, Coordinator, Estimator, Foreman, Marketing, Supervisor. The person responsible for completing the workflow task will be the user selected as the Internal Job Participant chosen.
  7. Click Apply Settings.
