Job number schema

Overview

Disclaimer

Please note that once a job number is used once in the system it cannot be used again

This article covers how to update your default job number formatting / schema in DASH.

Best practices

Default job number schemas / formats must be set up per office. We advise that you add a suffix or prefix to your job numbers to help you keep track of which job belongs to which office. E.g. Office A would have job numbers that look like this 22-0001-A. Office B would have job numbers that look like this 22-0001-B.

Updating schema for new year

New Year Approaching? Follow the steps below or feel free to check out this manual on changing Job Number schema for the new year: Job Numbers for the New Year

Job numbers in your Job Management Platform are often set to reflect the year in which job are entered or received. When this is the case, job numbers should always be updated to reflect the current year. For example, if your company uses the year in job numbers (ex: 25-0001-WTR where "25" represents 2025), you'll want to update this when a new year starts.

See steps below.

How to change job number schema

  1. Hover over Administration and click Employee.
  2. Click Edit next to your name.
  3. Change your Office to the office you are trying to set up
  4. Save the changes.
  5. Log out and back into the software.
  6. Perform the standard procedure of changing the format in Administration → Default Documentation Standards.
  7. If you have multiple offices that you need to change job number schemas for, you will need to follow these instructions for EACH additional office:
    1. Go back to Employee and change your office to the next one needing the change.
    2. Log out and back in again.
    3. Start back at step #1. Rinse and repeat.

When you have done all the offices, don't forget to change the office back to the original. Also, don't forget to log out and back in each time you change your office in Employee.
